A great fest is remembered for years. A badly planned one is remembered for the wrong reasons. Here's a checklist for student organisers.
8–10 weeks before
- Form a core team with clear roles: events, finance, sponsorship, publicity, logistics and hospitality.
- Get written permission from the college and fix the dates.
- Draft a budget with a 10–15% buffer for surprises.
6 weeks before
- Finalise the list of events, rules and prizes.
- Approach sponsors with a short proposal showing expected footfall and branding options.
- Book judges, guests and any equipment you'll need to hire.
4 weeks before
- Launch registrations online with a simple form.
- Start publicity on social media and visit nearby colleges.
- Plan safety: first aid, fire safety, crowd entry and exit, and volunteers on duty.
Final week
- Share the final schedule with all teams.
- Do a full sound and stage check.
- Brief volunteers on their duties and emergency contacts.
After the fest
Settle all payments, thank sponsors and guests, and write a short report with photos. Next year's team will thank you.
